Understanding Organization Roles

Roles control what each member can do in your organization.

Available Roles#

Admin#

Full control over the organization:

• ✅ Manage billing and subscription
• ✅ Change organization settings
• ✅ Invite/remove members
• ✅ Assign and change roles
• ✅ Approve and publish songs
• ✅ Create, edit, delete all content
• ✅ Access all features

Worship Leader#

Day-to-day content management:

• ✅ Create and edit songs
• ✅ Create service plans
• ✅ Submit songs for approval
• ✅ Publish approved content
• ✅ Manage playlists
• ✅ Export all materials
• ❌ Cannot change settings or billing
• ❌ Cannot remove members

Approver/Publisher#

Publication control:

• ✅ Review pending content
• ✅ Approve or reject submissions
• ✅ Publish approved songs
• ✅ View all content
• ❌ Cannot edit others' content
• ❌ Cannot change settings

Member#

Basic access:

• ✅ View shared library
• ✅ Play and download songs
• ✅ Add songs to personal library
• ✅ View service plans
• ✅ Comment on songs
• ❌ Cannot create for organization
• ❌ Cannot publish

Assigning Roles#

When Inviting#

Select the role during the invitation process.

Changing Roles#

1. Go to Members tab
2. Find the member
3. Click their current role
4. Select new role
5. Confirm the change

Role Recommendations#

Multiple Roles?#

Currently, each member has one role. Choose the role that best fits their primary responsibilities.

Security Best Practices#

• Limit Admins — Only 1-2 people should be Admin
• Review regularly — Check roles quarterly
• Remove departed staff — Update access when people leave
• Use Approver role — For quality control before publishing
