Setting Up Approval Workflows

Approval workflows ensure songs meet your standards before being shared publicly.

What Is an Approval Workflow?#

Songs go through a review process:

1. Draft — Creator is working on it
2. Pending Approval — Submitted for review
3. Approved — Ready to publish
4. Published — Visible to chosen audience

This prevents unauthorized or inappropriate content from going public.

Enabling Approval Workflows#

1. Go to Organization Settings
2. Find Content Approval
3. Toggle Require Approval on
4. Configure options
5. Save settings

Approval Options#

Who Can Approve#

• Admins only — Tightest control
• Admins and Approvers — Dedicated reviewers
• Worship Leaders+ — Leaders and above

What Requires Approval#

• Public publishing — Sharing beyond organization
• Organization publishing — Sharing within organization
• All content — Every song goes through review

Auto-Approval#

Optionally auto-approve content from trusted roles:

• Admins always auto-approved
• Worship Leaders optionally auto-approved

Submitting for Approval#

As a content creator:

1. Finish your song/content
2. Click Submit for Approval
3. Add optional notes for the reviewer
4. Wait for approval notification

Reviewing Content#

As an approver:

1. Go to Approval Queue in organization dashboard
2. See pending submissions
3. Review each item:

• Listen to the song
• Read the lyrics
• Check the metadata

1. Choose:

• Approve — Ready to publish
• Request Changes — Send back with feedback
• Reject — Decline (with reason)

Approval Notifications#

• Creators get notified when approved/rejected
• Approvers get notified of new submissions
• Email and in-app notifications available

Tracking Approvals#

The Audit Log shows:

• Who submitted what
• Who approved/rejected
• When actions happened
• Any notes or feedback
